Essential Information

Read these 3 items first for successful setup

Module Synchronisation Setup

⚠️ Make sure you have logged into Panopto before beginning the process in order to sync Canvas modules with the app.

Quick Steps:

1 Visit Panopto and log in
2 Return to the scheduling tool and refresh the page
3 Your modules should now appear in the list

⏱️ Timing

It can take up to 1 hour for your modules to display after first login.

Shared Module Access & Permissions

💡 Our Recommendation:

For shared Canvas modules, always choose 'Partially Automated' to allow individual control per lecture and avoid overwriting colleagues' settings.

Note: We are looking into coordinator permissions settings for future updates.

Who can edit settings:

All staff with TeacherEnrollment, TAEnrollment, DesignerEnrollment, or Course Designer roles, including module coordinators.

Best practice:

Use 'Partially Automated' for shared modules to preserve individual lecturer choice and prevent overwriting settings.

Screen Recording Privacy Information

🛡️ Privacy Recommendations:

  • • Perform a privacy sweep before each recording
  • • Close personal emails, sensitive documents, and private browser tabs
  • • Be mindful of notifications and popup windows

📺 All screens are recorded in automated recordings:

Single Screen Rooms

Everything on that screen is recorded. Personal emails, sensitive files, or private data will be included in the video.

Multiple Screen Rooms

All monitors are recorded, even if not projected to students. Secondary monitor content is still captured.

💡 Press F10 if recording starts unexpectedly - you can delete it before students see it

Critical Timings

⏰ Auto-start: +5 minutes

After timetabled start time

⏰ Auto-end: -5 minutes

Before timetabled end time

Changes can be made up to 1 hour before lecture start

48-Hour Safety Net

🛡️ Privacy protection

Students can't see recordings for 48 hours

✂️ Time to edit if needed

Remove sensitive content or unwanted sections

Editing is normally not required except for exceptional circumstances

Room Setup & Audio

🎯 Small rooms

Logitech camera = microphone. Stay close for best audio

🎤 Large rooms

Use room microphone or lapel mic. Switch on audio equipment
